Refund Policy

Elite Athletics, Inc. d/b/a ABSA, Alliance Baseball, Alliance Softball, AquaSox Baseball, and Apex United Softball is committed to providing our players with the unparalleled opportunity to enhance and develop their knowledge and skills in order to meet their individual goals. Elite Athletics, Inc. d/b/a ABSA, Alliance Baseball, Alliance Softball, AquaSox Baseball, and Apex United Softball recognizes that obtaining quality training, coaching, and playing time can all be key components to support our players’ athletic careers. We also realize that at times, injuries may also play a role in a players path of reaching their goals.  Therefore, we have our cancellation/refund policy posted below for your review.

In the event of an unfortunate season ending injury, please review the below reimbursement policy in its entirety before submission of the below reimbursement form.  If you will be submitting a request for reimbursement, please complete the form in its entirety. Refund Policy

This Refund / Cancellation / Injury Reimbursement Policy (“Policy”) governs all player registration fees, administrative fees, reimbursements, cancellations, transfers, and participation matters related to programs operated by Elite Athletics, Inc. and/or any of its affiliated brands, subsidiaries, programs, teams, or DBAs, including but not limited to:

  • ABSA
  • Alliance Baseball
  • Alliance Softball
  • AquaSox Baseball
  • Apex United Softball
  • Any affiliated teams, programs, academies, camps, showcases, clinics, or developmental programs operated under Elite Athletics, Inc.

By registering a player for participation in any program operated under the organizations listed above, the parent/guardian and player acknowledge and agree to the terms contained within this Policy.


Administrative Fee

The non-refundable fee charged to offset administrative, staffing, insurance, technology, scheduling, facility, organizational, and operational expenses incurred by the organization.

Administrative fees are fully earned upon registration and are non-refundable under any circumstance.


Player Registration Fee

The fee charged to reserve a roster spot and participate within a team, program, season, camp, clinic, showcase, or event operated by the organization.

Unless expressly stated otherwise in writing by the organization, all player registration fees are non-refundable and non-transferable.


Length of Season

A season shall begin on the first official team activity, including practices, evaluations, workouts, or training sessions, and shall conclude upon completion of the final scheduled game, tournament, showcase, or organizational event.


Season Ending Injury

A “Season Ending Injury” is an injury verified by a licensed physician that prevents a player from participating for the remainder of the current season and/or the upcoming season.

The physician’s determination must:

  • Be in writing,
  • Be signed by a licensed physician,
  • Specifically state the player is unable to continue participation,
  • Be addressed to the organization or otherwise subject to verification.

Player registration fee reimbursements are only available in strict accordance with this Policy.

Elite Athletics, Inc. and all affiliated DBAs reserve the right to:

  • Modify, update, suspend, or terminate this Policy at any time;
  • Interpret and apply this Policy at their sole discretion;
  • Make decisions on circumstances not specifically addressed herein.

Approval of one reimbursement request shall not create precedent or obligation for approval of any future request.

All reimbursement decisions are final and made solely at the discretion of the organization.

To be considered eligible for a potential reimbursement related to a Season Ending Injury, BOTH of the following conditions must be satisfied:

  1. The player suffered a verified Season Ending Injury; AND
  2. The player account is current on all registration fees, administrative fees, payment plans, and outstanding balances.

Failure to satisfy both requirements automatically disqualifies the request.


Procedure to Submit a Request

To request consideration for an injury-related reimbursement, the player’s parent or legal guardian must submit:

  1. A completed “Season Ending Injury Reimbursement Request Form”; AND
  2. Written medical documentation from a licensed physician verifying the Season Ending Injury.

All documentation must be submitted within fourteen (14) calendar days of the injury diagnosis unless otherwise approved in writing by the organization.

Submission of documentation does not guarantee approval of reimbursement.

If approved, eligible reimbursements may be calculated on a pro-rata basis according to the remaining portion of the season at the time the Season Ending Injury occurred.

The season shall be divided into four (4) equal quarters for reimbursement purposes.

Potential reimbursement amounts are as follows:

  • Before Season Begins: Up to 100% of eligible registration fees
  • First Quarter: Up to 75% of eligible registration fees
  • Second Quarter: Up to 50% of eligible registration fees
  • Third Quarter: Up to 25% of eligible registration fees
  • Fourth Quarter: No reimbursement eligibility

Administrative fees, processing fees, late fees, uniform fees, tournament fees, coach fees, travel expenses, and third-party expenses are non-refundable under all circumstances.

All approved reimbursements may be reduced by:

  • Outstanding balances,
  • Processing costs,
  • Uniform or equipment expenses already incurred,
  • Tournament entry fees already committed,
  • Any other unrecoverable organizational expense.

Player registration fees shall NOT be refunded, credited, or transferred for any of the following reasons:

Voluntary Withdrawal

A player voluntarily quitting, leaving, transferring, or withdrawing from the organization for any reason, including but not limited to:

  • Playing time concerns,
  • Team placement,
  • Coaching disagreements,
  • Schedule conflicts,
  • Relocation,
  • Family decisions,
  • Preference for another organization,
  • Financial hardship,
  • Personal dissatisfaction.

Team Reassignment

The organization reserves the right to:

  • Reassign players between teams,
  • Merge teams,
  • Combine age groups,
  • Adjust rosters,
  • Modify schedules,
  • Replace coaches,
  • Restructure programs,
  • Cancel or consolidate teams when necessary for roster viability, player safety, competitive balance, or organizational operations.

Such organizational decisions do not qualify for refunds or credits.


Dismissed or Suspended Players

Players removed, suspended, or dismissed for disciplinary, behavioral, conduct, sportsmanship, attendance, effort, or safety-related reasons are not eligible for refunds, reimbursements, or credits.

The organization and coaching staff maintain full authority regarding disciplinary decisions.


Non-Season Ending Injuries

Temporary illnesses, minor injuries, recovery periods, soreness, vacations, family emergencies, school conflicts, or any injury not officially classified as a Season Ending Injury are not eligible for reimbursement.


Partial Participation

No refunds shall be provided for missed practices, missed tournaments, reduced playing time, weather cancellations, scheduling conflicts, shortened events, or inability to attend portions of the season.


Additional Exclusions

This Policy does not cover or reimburse losses resulting from:

  • Acts of war,
  • Natural disasters,
  • Pandemics,
  • Government restrictions,
  • Facility closures,
  • Travel disruptions,
  • Weather events,
  • Force majeure events,
  • Player misconduct,
  • Alcohol or drug-related incidents,
  • Participation restrictions imposed by schools or governing bodies.

All late fees, processing fees, collection costs, and payment plan obligations are non-refundable.

Failure to complete payments may result in:

  • Suspension from participation,
  • Removal from roster,
  • Withholding of uniforms or player credentials,
  • Collections activity,
  • Future registration restrictions.

Acknowledgement

By registering for participation with any organization operated by Elite Athletics, Inc. and its affiliated DBAs, the parent/guardian and player acknowledge that they:

Understand that participation in athletics inherently includes risks beyond the organization’s control.

  • Have read and understood this Policy,
  • Voluntarily agree to all terms,
  • Understand all registration fees are generally non-refundable,
  • Accept the organization’s authority regarding roster and operational decisions,
